We check the connections your filing workflow depends on and work through problems with your tax software and hosted-desktop providers.

Filing night is too late to discover the scanner, login or connection does not work.

We check the connections your filing workflow depends on. When tax software support blames the hosted desktop, we make the next call. We’ve kept accounting firms running for decades.

The application is one part of the setup. We look after the computers, connections, access and recovery it depends on. When a problem crosses into the application, we work with its vendor to get the right people involved.

What we check first before March.

Find the weak link before March finds it.

Virtual Office CS runs remotely but still has requirements for the scanner and printer on your desk. Nothing moves until they work together. Thomson Reuters lists them.

QuickBooks support ended. Check what went with it.

Intuit ended support for older versions such as QuickBooks Desktop 2023 after May 31, 2026. They no longer get critical security updates. We check every machine. Intuit’s notice.

FileCabinet CS has a deadline worth planning around.

Thomson Reuters says support and updates end after December 31, 2027. Get the export format in writing. Their notice.

Restore it. Then open it.

We restore onto a spare machine and open the tax data, accounting files and documents. Anything missing goes in your report.

The FTC Safeguards Rule, on the IT side

The plan says every login takes a second step. The front desk login says otherwise.

To the FTC, a tax preparer is a financial institution. Under 5,000 consumers? A few exemptions apply. The safeguards and regular testing or monitoring still do.

Three rules, one by one

  • Sign-ins

Multi-factor authentication for anyone on your systems.

  • The written plan

Paid tax preparers must keep a written security plan. IRS Publication 5708 is the template. We set up and document the technical controls.

  • Your Qualified Individual

We back the Qualified Individual your firm names, or serve in the role under a written agreement.

AI in an accounting firm

Fully booked, great retention, and profits still slipping

About $145,000 a year of work was underpriced or out of scope. About $86,000 became agreed annual fees.

How it worked

This CPA firm kept its clients for years and every staff calendar was full. Profit kept sliding anyway. We pulled together engagement letters, recurring service agreements, time records, invoices and client correspondence. AI compared the work actually being done against what each engagement covered, and flagged clients getting recurring payroll, advisory and cleanup work outside their agreements. Partners reviewed every exception before talking to any client. About $145,000 a year in staff effort turned out to be underpriced or out of scope. After those conversations, the firm turned about $86,000 of it into agreed recurring annual fees, and changed its workflows to cut the free work.
